General Guidelines for Task Forces and Their Chairs

Creation

Task forces are established by the president to accomplish an identified objective.

General Description

A temporary group of members under one leader for the purpose of accomplishing a definite objective. The initial charge of the task force is identified by the president when the chairperson is appointed.

Chair

Chairperson appointed by president for duration of task.

Composition

Co-workers selected and recruited by chairperson for the duration of the task.

Size

As many co-workers as necessary to complete the task.

Duration

Temporary. Duration specified by the president when task force is appointed (time expected to complete task).

Linkages

When the chairperson is not a member of the board, the president will appoint a member of the board to serve as a liaison between the task force and the board.

Responsibilities of Chairs

  • A commitment as chairperson for the period of time required to complete the task
  • Selecting and recruiting co-workers as necessary to complete the task
  • Coordination of efforts toward completion of the task
  • Preparation and submission to president of a report of activities toward completion of the task prior to each board meeting
  • Preparation and submission to the president of plan of work for the next fiscal year
  • Preparation and submission to the treasurer of a budget for the next fiscal year
  • Preparation and submission of information for the annual report as requested by the executive director in June.

Product

In every case, the outcome of a task force will consist of a product specified by the board.

Reports

The chairperson will complete and submit to the president a report of the task force's activities prior to each meeting of the board of directors.

If the task force's activities extend beyond the fiscal year of its appointment, the chairperson will complete and submit to the treasurer, in June, a budget request for any task force expenses anticipated for the new fiscal year.

If the task force's activities extend beyond the fiscal year of its appointment, the chairperson will complete and submit to the president, in June, a plan of work for the new fiscal year.

Continuity

Should a chairperson resign, he or she will provide all information concerning past activities to his or her successor. If a successor has not yet been identified all information concerning the group's activities will be forwarded to the president.
